An international law firm approached Law Image to help process a large volume of documents, which were required in a national disaster inquiry. The client needed to process approximately 250,000 pages of hard copy documents.
Our team took upon the challenge to deliver the job within agreed timelines. Law Image provided a comprehensive hard copy processing service, including:

Challenges faced:
- Book scanning is a fairly manual task that involves scanning individual pages on glass. Thus, scanning 250,000 would have ideally taken a lot of time.
- Working on-site during a pandemic with prevailing COVID-19 restrictions was another prime concern.

We collaborated with our clients, and developed a smart and strategic solution in order to perform the job on schedule. Due to prevailing COVID-19 restrictions, we introduced staggered shifts and a thorough cleaning regime of equipment and office premises. The team worked in day and night shifts to ensure timely project completion.
In this project, we utilised an in-house objective coding tool. The tool combs through large volumes of data, and culls out relevant key information. It also provides an index of each page and document. This enabled our client to easily search for desired information based on key terms, such as dates, keywords, and associated parties. As a result, it saved the client from countless hours and efforts to search for evidence, and minimised the risk of missing crucial information.
The job was made easier due to the knowledge of our specialist staff, who are highly experienced in managing high volumes of sensitive data. The team also suggested a few work-around techniques for the glass scanning process. The client highly encouraged these suggestions. The team worked round-the-clock, thus accelerating the project further. Throughout the process, we ensured to keep our clients apprised of the project status with weekly reports and updates. We worked in an agile way, wherein our team took on board all the feedback and recalibrated our processes as required. We also provided timely updates on costs and deadlines, which enabled our clients to budget and manage the project efficiently.
